Goodbye to On-Premises Exchange

Posted on: January 31st, 2017 by TERESA MCCARVER

During the summer and early fall of 2016 all employee email was migrated from the on-premises UM Mail Exchange server to the Office 365 cloud service. Now it is time to take the next step.  The on-premises Exchange server is scheduled to be retired on May 1, 2017.

What does that mean for you?  The answer is simple.  For most users, no change is required.

However…

Multi-function Copier/Printer or Other Devices

If you are utilizing the advanced features of multi-function copiers or printers that involve sending email from the device, changes might be necessary. If a device is configured to use mail.olemiss.edu or ummail.olemiss.edu for the SMTP server, a few updates are required.  One is to change the SMTP server to “outlook.office365.com.”  Also, if you are using the email send and receive functionality, you will need to request a special account for your multi-function devices — since the Office 365 service requires SMTP authentication.  These special accounts can be requested through Request/Manage Account (https://olemiss.edu/accessrequest). If you have a support contract with a copy machine vendor, it is possible that their technical support may need to make these changes.

Email Clients

Email clients that are using “mail.olemiss.edu” or “ummail.olemiss.edu” as their outgoing SMTP server must change the configuration to outlook.office365.com.

Sending Bulk Email

The new mail service will not handle bulk email.  Anyone who previously used mail.olemiss.edu to send “bulk email” messages will need to either create a Google Group for this purpose or find another alternative for bulk email sending.

The IT Helpdesk can assist with this process to ensure your email and devices continue to function properly.  Remember, the majority of you will be unaffected by the retirement of the old mail server.
